Job Title: Purchase ExecutiveJob Summary

The Purchase Executive is responsible for managing procurement activities, ensuring timely availability of quality materials at competitive prices. The role involves vendor management, negotiation, purchase order processing, inventory coordination, and supporting overall supply chain efficiency.

Key Responsibilities1. Procurement & Sourcing

  • Identify, evaluate, and select reliable suppliers and vendors.
  • Source materials, equipment, and services as per company requirements.
  • Request, review, and compare quotations to ensure competitive pricing.

2. Purchase Order Management

  • Prepare and issue purchase orders (POs) in accordance with company policies.
  • Follow up with suppliers to ensure timely delivery of materials.
  • Maintain accurate and updated records of all purchases.

3. Vendor Management

  • Build and maintain strong relationships with vendors.
  • Conduct vendor performance evaluations (quality, delivery, pricing, service).
  • Resolve supplier issues related to delays, quality, or documentation.

4. Negotiation & Cost Control

  • Negotiate terms, prices, and contracts to achieve cost savings.
  • Analyze market trends and pricing to support informed purchasing decisions.

5. Coordination & Documentation

  • Coordinate with internal departments (production, stores, accounts) for material requirements and delivery schedules.
  • Handle purchase documentation, invoices, GRNs, and maintain audit-ready records.
  • Track stock levels in coordination with inventory and warehouse teams.

6. Compliance & Reporting

  • Ensure purchases comply with company policies and statutory requirements.
  • Prepare periodic reports on purchase status, cost savings, vendor performance, etc.
  • Assist in developing procurement strategies and process improvements.
  • Ensure adherence to budget constraints.

Required Skills & Qualifications

  • Bachelor’s degree in B.Com , Supply Chain, Business Administration, Commerce, or related field.
  • 3–8 years of experience in procurement or purchasing (industry-specific experience preferred).
  • Strong negotiation and communication skills.
  • Knowledge of procurement processes, inventory management, and vendor agreements.
  • Proficiency in MS Office; experience with ERP systems/SAP/Tally is an advantage.
  • Strong analytical and problem-solving abilities.
  • Ability to work under pressure and meet deadlines.
