Kuniya Group of Institutions (KGI) operates multiple educational verticals including schools, colleges, professional academies, and training institutions. The Group follows a centralized and transparent procurement system to ensure cost efficiency, quality assurance, and compliance with institutional and statutory norms.

To strengthen operational efficiency, KGI is seeking a Purchase Executive to support day-to-day procurement and vendor coordination across institutions.

Position Overview

The Purchase Executive will be responsible for executing procurement operations, coordinating with vendors, and ensuring timely availability of materials and services required for academic and administrative functioning.

This role works closely with administration, accounts, stores, and management, and reports to the Purchase Manager / Admin Head.

Key Responsibilities1. Procurement & Purchase Operations

  • Process purchase requisitions received from various institutions and departments.
  • Prepare and issue purchase orders (POs) as per approved procedures.
  • Ensure timely procurement of academic materials, office supplies, IT equipment, furniture, laboratory items, and services.

2. Vendor Management & Coordination

  • Identify, evaluate, and coordinate with approved vendors and suppliers.
  • Obtain quotations, prepare comparative statements, and support vendor finalization.
  • Maintain updated vendor database with pricing and performance records.

3. Cost Control & Compliance

  • Ensure purchases are made within approved budgets.
  • Follow institutional procurement policies and financial control procedures.
  • Support audits by maintaining proper documentation and records.

4. Inventory & Stores Coordination

  • Coordinate with stores and administration for receipt, inspection, and issue of materials.
  • Maintain stock-related records and assist in inventory control.
  • Ensure minimal wastage and avoid emergency purchases.

5. Documentation & MIS

  • Maintain purchase files, invoices, delivery challans, and warranty documents.
  • Prepare purchase-related MIS reports for management review.
  • Support annual stock verification and asset documentation.

6. Inter-Departmental Coordination

  • Liaise with academics, administration, IT, facilities, and finance teams.
  • Support centralized procurement for group-level requirements.
  • Ensure smooth communication between institutions and vendors.

Required Qualifications & Experience

  • Bachelor’s degree in Commerce, Business Administration, Supply Chain, or related field.
  • 2–5 years of experience in purchase / procurement operations.
  • Experience in educational institutions, trusts, hospitals, or large organizations preferred.
  • Basic understanding of GST, invoicing, and vendor compliance.
  • Proficiency in MS Excel, documentation, and ERP/Accounting software is an advantage.
