Purchasing & Accounts Coordinator

About the Role

We are seeking a detail-oriented and proactive Purchasing & Accounts Coordinator to manage both accounts payable/receivable and purchasing functions. This role plays a key part in keeping our projects financially accurate and our shop well supplied. You will work directly in SquareCoil and QuickBooks Online to manage invoicing, payments, and collections while also sourcing materials and maintaining inventory for ongoing projects.

Key Responsibilities

Accounts Payable & Receivable

• Enter incoming invoices into project costing within SquareCoil and QuickBooks Online.
• Perform weekly check runs and determine which accounts should be paid.
• Create invoices for T&M (time and materials) and service projects.
• Monitor receivables and follow up on outstanding collections.

Purchasing & Inventory

• Review project “shopping lists” in SquareCoil and source materials accordingly.
• Compare vendor pricing and lead times to ensure best value and timely delivery.
• Maintain adequate stock of raw materials to keep the shop running efficiently.
• Build and maintain positive vendor relationships.

Qualifications

• Experience with accounts payable/receivable and purchasing.
• Proficiency in QuickBooks Online; experience with SquareCoil a plus.
• Strong attention to detail and organizational skills.
• Ability to manage multiple priorities and meet deadlines.
• Excellent communication skills for vendor coordination and collections follow-up.

Job Type: Full-time

Projected Total Compensation: $70,000.00 - $75,000.00 per year
