Purchasing Agent – Construction & Accounting Support

About the Role:
We are seeking a detail-oriented Purchasing Agent with strong accounting and change order management experience to join our construction team. This role supports the purchasing and accounting departments by coordinating material procurement, cost tracking, and documentation of project changes. The ideal candidate is organized, analytical, and has a solid understanding of construction purchasing, job costing, and change management processes.
Key Responsibilities:
- Prepare, issue, and track purchase orders; ensure proper job cost coding and budget alignment.
- Review and reconcile invoices, purchase orders, and delivery receipts for accuracy before submitting to accounting.
- Collaborate with project managers and the accounting team to process change orders—verifying pricing, cost impacts, and supporting documentation.
- Maintain accurate change order logs and assist with budget updates to reflect approved revisions.
- Ensure all change orders are properly documented, approved, and communicated to vendors and subcontractors.
- Support month-end close activities, including purchase accruals, cost reconciliations, and reporting.
- Track and report on material deliveries, backorders, and cost variances.
- Obtain and compare quotes from suppliers and subcontractors to ensure competitive pricing and adherence to specifications.
- Maintain vendor databases, pricing records, and purchasing documentation for audit and project review.
- Provide administrative and accounting support to the purchasing and project management teams as needed.
Qualifications:
- Associate’s or Bachelor’s degree in Accounting, Business, or Construction Management preferred.
- 2–4 years of experience in construction purchasing, job cost accounting, or project administration.
- Knowledge of construction cost codes, budgets, and change order processes.
- Proficient in Microsoft Excel and accounting/project management software (e.g., Sage).
- Excellent communication, organizational, and problem-solving skills.
- Strong attention to detail and ability to manage multiple tasks and deadlines.
- Team player with a proactive, “get it done” attitude.
