Position Overview:
The Purchasing Agent is responsible for sourcing, ordering, and managing materials, equipment, and services needed to support commercial HVAC projects, BAS projects, and service operations, including residential and plumbing services. This role ensures timely procurement, cost-effective purchasing strategies, spend-management, strong vendor relationships, and accurate inventory control.
Key Responsibilities:
Procurement & Purchasing
- Work with Pipefitters and Service Technicians to procure pipe materials in a timely manner
- Receive material lists
- Get quotes for material when time allows
- Write Purchase Order to selected pipe vendor
- Track materials and coordinate delivery with field
- Review invoices to ensure proper discounts are received from vendors
- Work with Sheet Metal Workers to procure sheet metal materials in a timely manner
- Work with Sales Engineers, estimators and Project Managers to obtain piping quotes for large orders
- Solicit large order pricing
- Review pricing with Sales Engineer and/or PM to compare pricing vs. estimate
- Write PO for piping and materials
- Track deliveries with field
- Review invoices to ensure proper pricing and discounts are received from vendors
- Issue hardcopy purchase orders to vendors to reflect proposals and submittals for purchases upon request.
- Track blanket purchase orders for projects with contract pricing through invoice analysis with corresponding price books to ensure price accuracy.
Vendor Management
- Build and maintain strong relationships with manufacturers, distributors, and suppliers
- Track vendor performance regarding pricing, delivery accuracy, and responsiveness
- Review, suggest, and assist in negotiating contracts to ensure best pricing is achieved
- Negotiate early payment discounts
- Maintain up-to-date industry knowledge
- Organize meetings and presentations with suppliers
Administrative & Compliance
- Ensure all purchasing activities follow company policies and budget guidelines
- Maintain organized documentation of purchase orders, quotes, invoices, and delivery receipts
- Assist with cost tracking and budget reconciliation
- Utilize ERP or purchasing software for accurate data entry and reporting
- Other duties as assigned
Qualifications:
Education and Experience:
- High school diploma required; bachelor’s degree in business, supply chain, or related field preferred.
- 2–5 years of purchasing experience, preferably in HVAC, construction, sheet metal, or a related trade industry.
- Knowledge of commercial HVAC equipment, parts, piping, and terminology strongly preferred.
Skills & Competencies:
- Strong attention to detail and high level of accuracy in data entry and analysis.
- Excellent written and verbal communication skills.
- Strong negotiation skills.
- Ability to manage multiple requests, deadlines, and priorities in a fast-paced environment.
- Proficiency with Microsoft Office; CRM/ERP system experience a plus.
- Organized, reliable, and proactive.
- Team-oriented with a positive, solutions-driven approach.
- Able to quickly learn product information and vendor tools.
Work Environment:
Standard in-office role with possible occasional visits to job sites or vendor facilities. Regular interaction and collaboration with all company groups.
Compensation:
Salary Range is $60,000 - $75,000 per year
Supplemental Pay:
Bonus eligible on an annual discretionary basis
