The Purchasing Agent plays a crucial role at Western Allied Mechanical, responsible for seamlessly coordinating and efficiently procuring materials, equipment, and resources. This role involves tasks such as preparing purchase orders, soliciting bid proposals, reviewing requisitions, reconciling invoices, and working independently while upholding the company's dedication to delivering exceptional service. Additionally, the Purchasing Agent contributes to fostering a collaborative and high-performing team environment.
Task and Responsibilities:
- Customer Service Excellence: Provide exceptional customer service by promptly addressing customer inquiries, handling internal requests, and maintaining positive relationships/partnerships with customers.
- Procurement Management: Receive incoming material requisitions, review quotes, initiate purchase orders with accurate information, and efficiently allocate purchase orders to vendors.
- Invoice Processing: Evaluate and manage incoming invoices, accurately process them, and submit them through our software platform.
- Collaboration: Collaborate closely with colleagues to optimize procurement processes and obligations, ensuring smooth operations.
- Project Support: Provide proactive updates and confirmations to Project Managers and the Engineering Department, keeping them informed and prepared.
- Cost Analysis: Conduct cost analyses to identify opportunities for cost savings and implement cost reduction initiatives.
- Documentation: Maintain accurate records of supplier communications, purchase orders, and invoices.
- Team Player: Be a team player while also demonstrating the ability to work independently, taking initiative as needed.
- Vendor Coordination: Maintain constant coordination with outside suppliers and internal parties to facilitate efficient procurement operations.

- Adaptability: Be open to undertaking additional responsibilities as delegated, adapting to the evolving needs of the company.
Salary Range: $65,000 to $90,000 depending on experience and qualifications.
Qualifications/Requirements:
- Purchasing Experience: A minimum of 4 years of proven experience in procurement/purchasing, preferably in a fast-paced service or field-based environment. Experience in HVAC/construction procurement is highly preferred.
- Communication Skills: Excellent verbal and written communication skills, with the ability to convey information clearly and concisely. Proficiency in using the Outlook platform is required.
- Organizational Abilities: Strong organizational skills, attention to detail, and the capacity to manage multiple tasks simultaneously.
- Problem-Solving: Demonstrate the ability to make sound decisions under pressure, resolve issues, and adapt to changing circumstances.
- Technical Proficiency: Proficiency in using ERP software, reconciling invoices, and familiarity with various communication platforms (Knowledge of PartsLedger and ServiceTrade would be advantageous).
- Leadership Qualities: Possess strong leadership qualities to effectively manage and motivate our internal and field teams.
