Reports To: VP of Administrative Operations
Position Summary
The Purchasing Agent is responsible for sourcing, negotiating, and purchasing materials, supplies, equipment, and services required to support organizational operations. This role ensures cost-effective purchasing, timely delivery, contract compliance, and strong vendor relationships while maintaining quality and service standards.
Key Responsibilities
- Source and purchase goods and services in accordance with company policies and budget guidelines
- Solicit, review, and evaluate bids, quotes, and proposals from vendors
- Negotiate pricing, delivery terms, contracts, and service agreements
- Prepare and issue purchase orders; track order status and resolve discrepancies
- Maintain accurate purchasing records, contracts, and supplier documentation
- Monitor inventory levels and coordinate with internal departments to prevent shortages or overstock
- Evaluate vendor performance and recommend approved suppliers
- Ensure compliance with regulatory, safety, and organizational procurement requirements
- Identify cost-saving opportunities and process improvements
- Collaborate with finance, operations, and logistics teams as needed
Preferred Qualifications
- 2 to 4 year College degree a plus
- Experience in purchasing, procurement, or supply chain operations
- Knowledge of purchasing procedures, contract terms, and vendor management
- Strong negotiation, analytical, and problem-solving skills
- Proficiency in Microsoft Office 365, Excel and purchasing or ERP systems
- Excellent communication and organizational skills
