Job Opening: Purchasing Assistant (In-House)
We are seeking a highly organized and proactive Purchasing Assistant to join our local office team. This is an in-house position where you will work directly alongside our operations team to ensure our field crews have the materials and equipment they need to keep projects moving.
As the engine of our supply chain, you will be responsible for everything from initial sourcing to final data entry.
Key Responsibilities
Your primary goal is to manage the lifecycle of material procurement, ensuring accuracy and cost-efficiency at every step.
- Sourcing & Quoting: Contact our network of 5+ suppliers to secure competitive pricing for plumbing materials and major equipment (HWH systems, pumps, etc.).
- Bid Leveling: Gather multiple quotes and create leveling sheets to compare costs side-by-side, ensuring the company receives the best possible value.
- Order Management: Receive and process material orders directly from Site Managers to meet strict project timelines.
- System Management: Lead the setup and maintenance of our purchasing systems, ensuring all subcontractor pricing and project data are entered accurately.
- Logistics & Backorders: Take ownership of the "missing pieces." If a part is backordered, you will source it elsewhere or coordinate with alternative suppliers to fill the gap.
- Financial Oversight: Review all incoming invoices for accuracy against original quotes and purchase orders.
- Subcontractor Coordination: Price out specific job scopes to subcontractors, collect their bids, and organize data for project management review.
Requirements
- Location: Must be able to work in-office during standard U.S. business hours.
- Communication: Exceptional English communication skills (written and verbal) for negotiating with suppliers and collaborating with on-site teams.
- Tech-Savvy: High comfort level with computers; ability to quickly master Google Sheets, Asana, and specialized inventory software.
- Organization: A "detail-obsessed" mindset—you will be managing hundreds of line items across multiple active job sites.
- Industry Knowledge: Previous experience in purchasing, construction, or the plumbing industry is highly preferred.
