Job Summary: The Purchasing Coordinator is responsible for procuring materials and services essential to the production and fulfilment of direct mail campaigns. This role ensures cost-effective purchasing practices while maintaining high standards of quality, accuracy, and timely delivery.
Responsibilities:
Coordinate purchasing activities for materials such as paper, envelopes, printing supplies, packaging, and postage.
Request and evaluate vendor quotes, negotiate pricing, and issue purchase orders.
Maintain vendor database and assist in developing preferred supplier relationships.
Track order status and delivery schedules to ensure materials arrive on time for production deadlines.
Verify invoices against purchase orders and resolve discrepancies with vendors or accounting.
Monitor inventory levels and assist with reordering as needed.
Collaborate closely with production, scheduling, and estimating teams to ensure material requirements are met.
Maintain accurate purchasing records and documentation for audits and internal tracking.
Support cost-saving initiatives and process improvements in the purchasing function.
Assist with special projects and other administrative tasks as assigned.
Qualifications:
Bachelor’s degree in Business, Supply Chain, or related field preferred
Team player attitude
Excellent organizational and time-management skills
Ability to manage multiple priorities in a fast-paced, deadline-driven environment
Detail-oriented with strong problem-solving and multitasking abilities
