Position purpose:
Under the supervision of the Purchasing Director, the Purchasing Coordinator is responsible for the university-wide purchasing operation. They will direct procurement policies to ensure all items are purchased and delivered within budget and time constraints. Their duties will include performing the necessary functions to assist in the functions to procure materials, supplies, equipment andservices, along with maintaining the university’s eProcurement and Travel & Entertainment systems.
Essential Functions:
1. Participates in the development and monitoring of policies and procedures for procurement and purchasing operations. Develops recurring and periodic procurement reports. Process purchasing-related information for the purpose of updating and distribution information, authorizing for action and/or complying with established accounting practices. Compiles data from a wide variety of sources for the purpose of analyzing issues, ensuring compliance with a wide variety of purchasing policies and procedures, and/or monitoring purchasing processes.
2 Assists in oversight and review of the university's purchasing card program, including the review of the expenses and documentation submitted for support of purchases.
3. Oversees required purchasing processes for the purpose of identifying necessary resources to support university operations. Assists in responding to inquiries from a variety of internal and external sources for the purpose of providing information, direction and/or appropriate referrals.
4. Assists in negotiations with vendors for goods and services, negotiating the best possible price and service guarantee. Serves as a liaison with vendors for the purpose of monitoring and consolidation of departmental/college orders for better management of expenses. Research contracts, suppliers, equipment and regulations, including evaluation of new products for the purpose of analyzing information to determine product and/or service need and availability as necessary.
5. Represent Belmont with various purchasing groups and vendor organizations, along with
promoting the use of minority and women owned business enterprises.
7. Participates in workshops, in-service training, etc. for the purpose of conveying and/or gathering information required to perform job functions.
