SUMMARY OF DUTIES:

Supports assigned department(s) by coordinating purchasing activities in accordance with the NCSPA agency’s Purchasing Office. Handles requisitions, small purchases vendor quotes, work order initiation, receiving entries. Position has an extremely high rate of volume and throughput rate which requires a high level of detail and accuracy working with SAP requisitions and work orders.

DESCRIPTION OF WORK:

  • Prepare and process requisitions and work orders for goods, services, and assigned departmental needs. Enter requisitions and work orders into SAP Procurement system to ensure accuracy in scheduling and preventive maintenance.
  • Obtain competitive quotes for small purchases under the formal bid threshold.
  • Maintain purchasing and work order records in compliance with NC procurement rules. including but not limited to: Record data regarding repair, labor required, parts needed, and costs.
  • Perform receiving entries for parts or services delivered directly to the department or where parts may need to be picked up from.
  • Serve as liaison between assigned departments and purchasing office.
  • Ensures compliance with State of North Carolina purchasing statutes, rules, as well as NCSPA Purchasing Handbook Rules, State term contracts, agency contracts, and regulations.
  • Provide backup support for other coordinators or staff during absences to ensure uninterrupted purchasing support.
  • Keep up to date with any changes or new procedures with SAP requisitions.
  • Provides backup coverage when other coordinators or purchasing staff during absences ensure uninterrupted purchasing operations.
  • Perform other duties as assigned by Purchasing Manager in accordance with departmental needs.

PREFERRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • High school diploma or equivalent required with an associate or bachelor’s degree in business administration, Supply Chain Management or related field preferred.
  • Two years of experience in administrative support, purchasing, or related clerical work.
  • One plus years of purchasing or inventory support experience with basic knowledge of NC state procurement laws, purchasing systems and agency policies preferred.
  • Ability to prepare requisitions, work orders, and receiving entries accurately.
  • Proficiency with office software (Word, Excel, Outlook).
  • Must have excellent customer service skills, as well as written and verbal communication is required.
  • Must be detail oriented and comfortable in a multitasking environment, while able to adjust priorities as the situation dictates with ability to support multiple departments simultaneously.
  • Must possess strong administrative and organizational skills.
  • Must have a valid driver’s license and meet TWIC security requirements.

WORKING CONDITIONS/PHYSICAL EFFORT:

Normal office conditions in climate-controlled environment. Light physical efforts required for office activities. Occasional exposure to hot and cold weather in an inventory warehouse environment. Ability to lift and move up to 40 lbs. in a shop/warehouse environment.
