Purchasing & Receiving Manager

Summary: The Purchasing and Receiving Manager is responsible for overseeing all procurement and receiving activities to support the Club’s operations. This role ensures the timely acquisition and delivery of goods and services, maintains effective inventory control systems, and collaborates with multiple departments to meet organizational needs efficiently and cost-effectively.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Oversees and manages the purchasing of all supplies, equipment, and services necessary for Club operations, including food and beverage, maintenance, and office supplies.
  • Hires, manages and trains staff, ensuring alignment with Club standards of quality and service across all technical and non-technical responsibilities.
  • Creates, maintains and distributes weekly schedules for staff and communicates changes as appropriate to all.
  • Assigns duties, work stations and responsibilities to staff and directs their performance.
  • Maintains accurate timekeeping records, including daily and weekly punch details, and approves payroll in ADP.
  • Develops and maintain relationships with vendors; negotiates pricing and terms to secure the best value and service for the Club.
  • Monitors market trends and adjusts purchasing strategies to optimize cost-effectiveness and supplier performance.
  • Ensures all purchasing activities comply with the Club’s financial policies and budget constraints.
  • Manages the inventory control system to accurately track goods ordered, received, and stored.
  • Conducts timely inventory counts; reconciles discrepancies and reports findings to the accounting department.
  • Develop and implement inventory management procedures to minimize waste, improve accuracy, and maximize efficiency.
  • Collaborates with department heads to forecast supply needs and manages reorder schedules to avoid shortages.
  • Supervises all incoming deliveries, ensuring products are inspected for quality, accuracy and condition.
  • Ensures proper documentation and follow-up on discrepancies related to damaged goods, shortages, or incorrect shipments.
  • Maintains organized and compliant storage of goods, adhering to all health and safety regulations.
  • Keeps precise and comprehensive records to track all purchasing, receiving, and inventory-related transactions.
  • Prepares regular reports on purchasing trends, inventory status, and budget performance for senior management.
  • Ensures that all documentation (invoices, purchase orders, receiving logs, etc.) is properly filed and accessible for auditing purposes.
  • Maintains full compliance with all applicable regulations and Club policies related to purchasing, receiving, and inventory control.

Supervisory Responsibilities: Manages up to four employees and is responsible for the overall direction, coordination, and evaluation of these units. Carries out supervisory responsibilities in accordance with the organization’s polices and applicable laws. Responsibilities include interviewing, hiring, and training employees: planning, assigning, and directing work; appraising performance; rewarding and disciplining employees.

Education and/or Experience: Associate's degree (A. A.) or equivalent from two-year college or technical school; or two to three years related experience and/or training; or equivalent combination of education and experience.

Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Mathematical Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills: To perform this job successfully, an individual should have knowledge of Spreadsheet software, Word Processing software, accounting and inventory software.
