POSITION SUMMARY

The Purchasing Specialist is responsible for updating and maintaining documents, materials, and other applications as part of a structured system in support of Supply Chain & Logistics efforts. A successful Purchasing Specialist reports on the use of materials, monitors customer orders and production schedules, and calculates consumption rates.

JOB RESPONSIBILITIES

Procurement, Supply Chain & Logistics (50%)

  • Review templates for work orders and manufacturing orders.
  • Update job order and manufacturing order templates.
  • Monitor job orders and/or manufacturing orders through their life cycle and report delays, including vendor deliveries and any shortages.
  • Close job orders and/or work orders, as needed, using the company ERP system.
  • Review and verify stock availability to mitigate project delays.
  • Review released product drawings and update part revisions using ERP system.
  • Coordinate with logistics team members for the transport of components and assemblies to and from vendors for repairs and services.
  • Analyze current orders, upcoming orders and help identify potential bottlenecks and implement mitigation processes.
  • Use multi-tasking skills to provide a real-time daily status spreadsheet while accepting and closing out work requests.
  • Occasionally pickup and deliver products to vendors and customers, as required.

Purchasing & Buying (50%)

  • Generate Requests for Quotes (RFQs), customer quotes, repair orders, work orders, and purchase orders.
  • Track and understand market for purchasing needs.
  • Reviews requisitions and issues purchase orders using ERP system.
  • Generate job travelers for work orders.
  • Input new vendors, update existing vendors, and monitor vendor information using ERP system.
  • Purchase items as requested and necessary.
  • Interview suppliers to obtain information concerning product, price, and ability to produce product of service, and delivery date.
  • Assess supplier bids and recommend selection based on price, quality, delivery, and capability.
  • Monitor and report purchase/manufacturing order costs and discrepancies.
  • Assist and participate in audits, as needed.

PHYSICAL REQUIREMENTS

  • Ability to lift up to 50 lbs.
  • Ability to operate in a clerical setting, routinely using standard office equipment such as computers, phones, photocopiers, filing cabinets, etc.

REQUIRED KNOWLEDGE & EXPERIENCE

  • Proficient knowledge of database use and report queries
  • Proficient in Microsoft Office applications (e.g., Word, PowerPoint, Excel, Access, and Outlook)
  • Proficient knowledge of repair, manufacturing, and purchase orders systems using an ERP system
  • Competent with negotiation, communication, and interpersonal collaboration.

PREFERRED KNOWLEDGE & EXPERIENCE

  • Working knowledge of Microsoft Project
  • Ability to read and understand engineering drawings and parts/items requirements
  • Working knowledge of an enterprise resource planning (ERP) software
  • Up to 1 year of general/clerical work experience
  • Analytical mindset with the ability to make data-driven decisions.
  • Exceptional organizational and time management skills.
  • Familiarity with procurement software and ERP systems.

SECURITY CLEARANCE REQUIREMENT

Subject to a security investigation and may need to meet eligibility requirements for access to classified information. A SECRET, TS, or TS/SCI clearance may be required.

EDUCATION

  • High School diploma or equivalent required
  • Associate degree preferred
