Essential Duties and Responsibilities
Documentation Review & Quality Assurance
- Review documents for accuracy, completeness, and compliance with agency standards.
- Perform routine quality assurance monitoring of service documentation and person-served records.
- Communicate with staff to correct documentation errors, address missing information, and reinforce documentation expectations.
- Ensure all documentation is goal‑oriented and reflects meaningful progress toward individual outcomes.
- Downsize and archive past plan-year files as needed.
Billing & Data Management
- Gather, code, and transmit person-served service information for the accounting department to support Medicaid reimbursement.
- Review person-served records for proper coding and completeness; make corrections as needed.
- Analyze billing records for accuracy and obtain additional information or clarification when necessary.
- Assist with resolving billing discrepancies by researching and correcting errors prior to submission.
- Prepare billing reports to ensure accuracy and alignment with accounting records.
- Log service units into billing workbooks to support accurate billing and utilization tracking.
- Monitor service utilization to ensure individuals use authorized units appropriately and within limits.
Administrative & Program Support
- Coordinate with Office Manager to prepare and accurately organize and store person served files.
- Write monthly summaries as needed and convert completed summaries into PDF format for distribution.
- Assist at the front desk when required.
- Communicate with service coordinators regarding reviews, updates, and required documentation.
- Maintain and update the service coordinator contact list.
- Ensure transportation records are complete, accurate, and aligned with service documentation.
- Utilize new filing systems and tracking sheets to improve organization, accuracy, and compliance across programs.

Education & Additional Requirements
- Associate’s degree or a minimum of 3 years of relevant experience in documentation, quality control, or a related administrative role.
- Ability to pass criminal and registry background checks.
- Ability to obtain and maintain a Class E driver’s license.
- Ability to pass and maintain required trainings such as CPR/First Aid and Positive Behavioral Support Training.
Pay: From $22.00 per hour
