The Role

We are seeking a detail-oriented and collaborative Quality Assurance Specialist to support certification, compliance, and quality system implementation across our supply chain. This role ensures products meet regulatory, certification, and internal standards while working cross-functionally with operations, suppliers, and customers.

The ideal candidate combines technical knowledge with strong communication skills and proactively contributes to continuous improvement. This candidate must have prior experience in the food industry and be able to commute to our Philadelphia office 3 days a week.

Key Responsibilities

Quality Systems & Documentation

• Develop, maintain, and improve SOPs and quality documentation
• Support implementation and monitoring of internal quality standards
• Maintain organized records for audits and compliance verification
• Maintain organized tracking of complaints.
• Maintain organized tracking of sales and operational support requirements.

Inspection & Compliance

• Conduct physical inspections and verification activities at copackers and warehouses.
• Ensure product compliance with certifications and regulatory requirements (e.g., Organic, Kosher, GFSI, FDA, etc.)
• Support certification processes and audit preparation

Supplier & Co-packer Coordination

• Coordinate onboarding of co-packers, warehouses and suppliers.
• Monitor day-to-day quality performance and issue resolution
• Communicate requirements and follow up on corrective actions

Customer & Stakeholder Support

• Address quality-related requests from customers
• Prepare specs, CoA and supporting documentation
• Participate in cross-functional problem solving

Product Evaluation

• Conduct sensory analysis when required for shelf-life validation or approval.
• Assist with product quality reviews and decision-making support.

Continuous Improvement

• Identify risks and propose process improvements
• Support root cause analysis and corrective/preventive actions

Qualifications

Required

• Bachelor’s degree in Food Science, Food technology, Biology, Quality, or related field
• 4+ years experience in quality assurance, food/ag supply chain, or certifications
• Familiarity with certification frameworks (Organic, GFSI, etc.)
• Strong documentation and organizational skills
• Professional communication and teamwork mindset

Preferred

• Experience with FDA regulation
• Experience working with customers and distributors
• Sensory evaluation exposure
• Audit preparation experience
