Position Overview
The Real Estate Administrative Coordinator will play a vital role in supporting our team by managing real estate transactions from contract to close, assisting with listing coordination, maintaining our database and client communication systems, planning client events, and providing administrative support to team leadership.

The ideal candidate is dependable, proactive, organized, a strong communicator, and comfortable learning new technology and systems.

Responsibilities

Contract-to-Close Coordination

  • Manage real estate transactions from contract to closing
  • Open and maintain transaction files
  • Track deadlines and ensure contract compliance
  • Coordinate inspections, appraisals, and repair negotiations
  • Communicate with clients, lenders, attorneys, and vendors
  • Prepare commission documentation and transaction paperwork
  • Ensure all files are complete and compliant

Listing Coordination

  • Prepare listing paperwork and documentation
  • Enter and maintain listings in MLS systems
  • Coordinate photographers, stagers, sign installation, and marketing vendors
  • Assist with listing launch preparation and ongoing listing management
  • Monitor listing activity and communicate updates to agents and clients

Database & Client Support

  • Manage and maintain our CRM database (Command)
  • Update client records and ensure database accuracy
  • Assist with client follow-up and communication
  • Support client appreciation initiatives and special events
  • Help create a positive client experience throughout the transaction process

Administrative & Team Support

  • Assist team leadership with contracts, forms, and administrative projects
  • Support office organization and workflow management
  • Assist with event planning and coordination
  • Provide general administrative support to the team as needed

Qualifications

Preferred Qualifications

  • Previous administrative, transaction coordination, or real estate experience preferred
  • Experience with CRM systems and Microsoft Office or Google Workspace
  • Familiarity with MLS systems, Dotloop, Command, Canva, or similar platforms is a plus
  • Real estate license is not required

Hours: Monday-Friday, 9:00 AM - 5:30 PM

Benefits: Paid Time Off, Paid Holidays, Performance Bonuses

Starting pay is based on experience.

Pay: $40,000.00 - $45,000.00 per year
