We are seeking a detail-oriented and proactive Real Estate Administrator to join our dynamic team in Dubai. This role is the backbone of our office operations, ensuring that our agents are supported, our listings are pristine, and our legal documentation is flawless. The ideal candidate will bridge the gap between client relations and administrative excellence, maintaining the high standards expected in the Dubai property market. Key Responsibilities
1. Documentation & Contract Management
Prepare, manage, and maintain essential real estate documents, including Form A, Form B, and Form F (MOU).
Draft and review tenancy contracts and Sales and Purchase Agreements (SPA).
Ensure all transaction files are complete and compliant with Dubai Land Department (DLD) standards.
2. Listing & Portal Management
Upload, update, and optimize property listings on major portals like Property Finder, Bayut, and Dubizzle.
Monitor listing quality scores and ensure all images and descriptions meet company and portal standards.
3. CRM & Data Integrity
Oversee daily CRM data entry, ensuring all leads, properties, and client interactions are recorded accurately.
Maintain an organized digital filing system for easy retrieval of historical data.
4. Client & Agent Support
Act as the first point of contact for client inquiries via phone and email, providing professional and timely responses.
Coordinate schedules, viewings, and administrative support for the sales and leasing teams.
5. Reporting & Office Operations
Generate detailed weekly and monthly performance reports using Microsoft Excel for management review.
Oversee general office management to ensure a smooth, professional working environment daily.
Requirements
Must-Have Qualifications
Experience: 1–2 years of proven experience as a Real Estate Administrator or in a similar administrative role within the UAE.
Legal Knowledge: Strong understanding of Dubai Real Estate Law, including RERA regulations and DLD transfer processes.
Tech Savviness: Proficient in Microsoft Excel (formulas, formatting) and experienced in using Real Estate CRM systems.
Communication: Exceptional written and verbal communication skills in English.
Organization: Ability to multitask and prioritize workloads in a high-pressure environment.
Education: Bachelor’s degree or professional certification in Business Administration or Real Estate.
Language: Fluency in additional languages (English, Arabic, Russian, or French) is a significant advantage.
Compliance: Basic knowledge of AML (Anti-Money Laundering) and KYC (Know Your Customer) compliance in the UAE.
