Personal Assistant / Real Estate Executive Assistant

We are seeking a highly organized, proactive Personal Assistant to provide high-level support to our team leader and assist with the day-to-day coordination of operations. This role requires exceptional written communication skills, the ability to manage multiple priorities independently, and a client-first mindset.

The ideal candidate is resourceful, solution-oriented, and thrives in a fast-paced environment. You must be a self-starter who can exercise sound judgment, anticipate needs, and manage projects with little to no supervision.

Bilingual in Spanish is strongly preferred.

Key Responsibilities

Executive & Personal Support

  • Act as a primary point of contact on behalf of team leadership via email, text, and phone
  • Draft, edit, and manage professional correspondence and client communications
  • Maintain calendars, schedules, and follow-ups to ensure nothing falls through the cracks
  • Anticipate needs and proactively solve problems before they arise

Client & Transaction Coordination

  • Oversee seller transactions from initial contact through executed purchase agreement
  • Prepare and organize all listing materials
  • Coordinate property photos, staging, repairs, signage, access, and marketing timelines
  • Schedule and manage showings, open houses, and broker open houses
  • Collect and organize showing feedback
  • Support buyer transactions from start to finish

Operations & Systems

  • Manage and maintain office systems, workflows, and databases
  • Oversee client care systems and CRM/database management
  • Help create, reorganize, and improve systems and procedures for efficiency
  • Track deadlines, tasks, and priorities across multiple projects

Marketing & Design Support

  • Assist with occasional design and marketing projects (digital and print)
  • Coordinate listing launches and marketing activities
  • Ensure branding and messaging remain polished and consistent

What We’re Looking For

  • Strong written and verbal communication skills, especially via email and text
  • Highly organized with exceptional attention to detail
  • Calm, empathetic, and client-focused with excellent customer service skills
  • Able to prioritize and manage changing tasks independently
  • Comfortable working in a fast-paced, high-expectation environment
  • Team-oriented with a growth mindset and a desire to exceed expectations
  • Willing to work occasional evenings and weekends as needed

Preferred Qualifications

  • 2+ years of Real Estate expericne is required
  • Minnesota Real Estate License (preferred, not required)
  • Experience in customer service
  • Proficiency in Google Suite, and general internet tools

(Adobe Suite experience is a plus)

  • Bilingual in Spanish preferred

Job Type: Full-time

Pay: $50,000.00 - $70,000.00 per year
