Personal Assistant / Real Estate Executive Assistant
We are seeking a highly organized, proactive Personal Assistant to provide high-level support to our team leader and assist with the day-to-day coordination of operations. This role requires exceptional written communication skills, the ability to manage multiple priorities independently, and a client-first mindset.
The ideal candidate is resourceful, solution-oriented, and thrives in a fast-paced environment. You must be a self-starter who can exercise sound judgment, anticipate needs, and manage projects with little to no supervision.
Bilingual in Spanish is strongly preferred.
Key Responsibilities
Executive & Personal Support
- Act as a primary point of contact on behalf of team leadership via email, text, and phone
- Draft, edit, and manage professional correspondence and client communications
- Maintain calendars, schedules, and follow-ups to ensure nothing falls through the cracks
- Anticipate needs and proactively solve problems before they arise
Client & Transaction Coordination
- Oversee seller transactions from initial contact through executed purchase agreement
- Prepare and organize all listing materials
- Coordinate property photos, staging, repairs, signage, access, and marketing timelines
- Schedule and manage showings, open houses, and broker open houses
- Collect and organize showing feedback
- Support buyer transactions from start to finish
Operations & Systems
- Manage and maintain office systems, workflows, and databases
- Oversee client care systems and CRM/database management
- Help create, reorganize, and improve systems and procedures for efficiency
- Track deadlines, tasks, and priorities across multiple projects
Marketing & Design Support
- Assist with occasional design and marketing projects (digital and print)
- Coordinate listing launches and marketing activities
- Ensure branding and messaging remain polished and consistent

Preferred Qualifications
- 2+ years of Real Estate expericne is required
- Minnesota Real Estate License (preferred, not required)
- Experience in customer service
- Proficiency in Google Suite, and general internet tools
(Adobe Suite experience is a plus)
- Bilingual in Spanish preferred
Job Type: Full-time
Pay: $50,000.00 - $70,000.00 per year
