Executive Assistant to Top-Producing Rainmaker

Full-Time | In-Person / Hybrid | Keller Williams Utah

The Opportunity

We are hiring an Executive Assistant for our team's top-producing agent — a true rainmaker who closed 40+ homes last year and is targeting 50+ in 2026 with a personal goal of proving 100 transactions per year is possible. This is not a traditional admin role. This is a high-speed, high-stakes, communications-first position for someone who thrives on execution, urgency, and driving results behind the scenes so the agent can stay laser-focused on dollar-productive activity: listing appointments, buyer consultations, and negotiations.

If you need a slow ramp-up, hand-holding, or predictable 9–5 days — this isn't the role. If you are wired to move fast, anticipate needs before they're spoken, and take ownership of everything that crosses your desk, keep reading.

Who You Are (Non-Negotiables)

D/C Personality Profile. You are direct, decisive, and detail-oriented. You don't get pulled into office drama or social distractions. You are a taskmaster who holds people — including the agent — accountable to deadlines and commitments without apology.

Relentlessly Proactive. You don't wait to be told. You see the gap, fill the gap, and report back. You're three steps ahead at all times — anticipating what the agent needs before he asks.

Communication Machine. You are constantly on the phone, texting, emailing, and updating. Clients, lenders, title officers, co-op agents, inspectors — everyone hears from you first. Silence is never an option.

Emotionally Steady Under Pressure. High volume means high chaos. You don't crack. You stay calm, prioritize ruthlessly, and execute.

Adaptable Communicator. You can talk to a first-time buyer who's nervous, a luxury seller who expects white-glove service, and a hard-nosed investor who wants numbers only — and adjust your tone for each without losing efficiency.

Core ResponsibilitiesCommunication & Client Management

  • Full access to and management of the agent's email, text messages, and phone communications — responding on his behalf, triaging priority items, and ensuring zero messages fall through the cracks.
  • Serve as the first point of contact for all active clients, providing proactive updates on transaction timelines, next steps, and any issues before they escalate.
  • Maintain constant communication with all transaction parties: lenders, title/escrow, inspectors, appraisers, co-op agents, and contractors.
  • Draft and send client-facing communications (listing updates, market reports, post-closing follow-ups) in the agent's voice.

Calendar, Schedule & Pipeline Management

  • Own and defend the agent's calendar. Schedule listing appointments, buyer tours, inspections, and closings while protecting time blocks for prospecting and family.
  • Manage the entire active pipeline from contract to close, tracking every deadline (inspection, appraisal, financing contingency, closing date) and ensuring nothing is missed.
  • Prepare the agent for every appointment: pull comps, assemble pre-listing packets, confirm showing instructions, and brief him on client details before each meeting.
  • Coordinate with the team's Transaction Coordinators to ensure seamless handoffs and no duplication of effort.

Proactive Operations & Follow-Up

  • Build and maintain systems to ensure no lead, past client, or sphere contact goes untouched. Manage follow-up sequences, birthday/anniversary touches, and referral requests.
  • Track all pending items across transactions and chase down outstanding documents, signatures, and approvals without being asked.
  • Manage vendor coordination for listings: photographers, stagers, sign installs, lockboxes, cleaning crews, and repair contractors.
  • Maintain and update the CRM (Lofty) with accurate contact records, notes, and pipeline stages after every interaction.

Accountability & Reporting

  • Provide the agent with a daily briefing: today's appointments, critical deadlines, outstanding action items, and new leads requiring response.
  • Maintain a weekly scoreboard tracking production metrics: appointments set, contracts written, contracts closed, pending volume, and conversion rates.
  • Flag risks early. If a deal is going sideways, a deadline is in jeopardy, or a client is unhappy — you surface it immediately with a recommended solution.

Qualifications

Required:

  • Active Utah real estate license.
  • 2+ years of experience as an Executive Assistant, Operations Manager, or Transaction Coordinator in real estate (or equivalent high-volume, fast-paced environment).
  • Proven ability to manage 20–50+ simultaneous transactions or projects without dropping balls.
  • Exceptional written and verbal communication skills — comfortable representing an agent to high-net-worth clients and industry professionals.
  • Proficiency with CRM platforms (Lofty/Chime preferred), Google Workspace, and digital transaction management tools (Dotloop, DocuSign, SkySlope).
  • Available outside standard business hours as needed — real estate doesn't stop at 5:00 PM.

Preferred:

  • DISC profile showing high D (Dominance) and C (Conscientiousness) traits.
  • Experience supporting a top-producing individual agent (not just a team admin role).
  • Familiarity with Keller Williams systems, tools, and culture.
  • Background in project management, operations, or military/first-responder environments where urgency and precision are the default.

Compensation & Benefits

  • Competitive base salary commensurate with experience (range: $45,000–$60,000 depending on qualifications).
  • Performance bonus tied to the agent's closed production milestones.
  • Opportunity to grow into a Chief of Staff or Director-level role as production scales.
