Must have personally coordinated US real estate purchase transactions from contract to close.
This is full time and requires availability during work hours.
You will run investor flip transactions and also own operational follow up and KPI tracking.
About the Role
We are hiring a Real Estate Operations Coordinator to run execution across our flip purchase pipeline and day-to-day operational priorities. We buy and flip properties, completing 10-30 purchases per month, and we need a reliable operator to keep transactions moving, prevent stalls, track open items, and keep our team aligned.
This role is for someone who thrives on ownership, follow-up, and clean execution. You will own the transaction lane for flip purchases and also support operational coordination across projects and internal workflows.
Primary Responsibilities (Operations Execution)
Daily execution hub for flip and business priorities Maintain an “open items” tracker and push items to completion Follow up with title, insurance, utilities, vendors, and internal team daily Flag issues early and summarize next steps clearly for leadership Support the project manager with task tracking, timelines, and follow-ups Assist with material ordering and delivery tracking based on provided scopes Keep files, trackers, and systems organized in Google Drive and company tools Ensure nothing falls through the cracks across deals and active projects
Secondary Responsibilities (Flip Transaction Coordination)
Coordinate flip purchases from executed contract through closing Create and send purchase agreements in Dotloop using provided templates Confirm all documents are fully executed and compliant Open escrow and communicate with title companies Track closing timelines, milestones, inspections, and deliverables Set up insurance and utilities prior to closing Track earnest money and settlement statements Organize all transaction documents and maintain clean files
Optional Support (Light Brokerage Help As Needed)
Assist with brokerage transaction files as needed Dotloop file setup, document management, deadline tracking Brokerage support is secondary and not the core of the job
Required Experience (Non-Negotiable)
Prior U.S. real estate transaction coordination experience Must have personally coordinated transactions contract to close Experience with cash/investor purchases and fast closings Comfortable working with title companies, escrow, inspections, utilities, insurance Strong follow-up and timeline ownership across multiple moving parts Hands-on experience using Dotloop Comfortable with CRMs and Google Workspace Strong written English
