The Closing Firm, LLC is seeking an experienced transactional real estate paralegal to support a fast-paced practice focused on residential real estate transactions and related legal matters. This is a role for someone who is highly organized, detail-oriented, and able to manage multiple files and deadlines with a strong sense of ownership and accountability.

No two days are exactly the same. This position requires someone who can move comfortably between document preparation, transaction support, deadline management, client communication, issue spotting, and coordination with the many parties involved in getting a file from contract to closing. The right candidate enjoys working in a high-volume environment, solving problems, keeping matters on track, and bringing order to a process with many moving parts.

This is a full-time, on-site position. The role requires five days per week in the office, eight hours per day. Remote work is not available for this position.

Key Responsibilities

  • Manage residential real estate files from contract through closing
  • Prepare, review, and organize legal documents, closing files, and due diligence materials
  • Track deadlines, contingencies, court dates, follow-up items, and transaction milestones across multiple active files
  • Draft professional correspondence, file notes, and court-related documents
  • Communicate with clients, lenders, real estate agents, title companies, court personnel, and government offices
  • Identify issues early and escalate or address them appropriately to keep transactions moving
  • Follow established office workflows, systems, and procedures while exercising sound judgment when issues arise
  • Maintain accurate, organized, and timely file management in a deadline-driven environment

Required Qualifications

  • Minimum of 3 years of experience in residential real estate law, title, closings, or a closely related real estate transaction role required
  • Prior experience as a real estate paralegal, legal assistant, title processor, closing coordinator, or licensed real estate professional strongly preferred
  • Demonstrated ability to manage a transaction workflow independently from contract to closing with limited supervision
  • Experience preparing and reviewing legal documents, closing files, title-related documents, and due diligence materials for real estate transactions
  • Strong reading comprehension and writing skills with the ability to draft clear, professional correspondence and file notes
  • Strong organizational skills and attention to detail; must be able to accurately manage multiple files, deadlines, and follow-up items
  • Ability to identify issues, ask focused questions, and problem-solve rather than wait for step-by-step direction on routine matters
  • Ability to follow established systems, checklists, and office procedures while also exercising sound judgment when issues arise
  • Strong verbal communication skills and the ability to communicate professionally with clients, lenders, agents, title companies, and court personnel
  • Ability to work efficiently in a fast-paced, high-volume, on-site office environment
  • Must be dependable, responsive, and accountable for completing assignments fully and on time
  • Must be comfortable receiving direct feedback, implementing corrections quickly, and taking ownership of work product
  • Proficiency with Microsoft Office, Google Workspace, PDF editing, and file/document management systems required
  • Paralegal certificate, real estate license, or relevant legal or real estate education required
  • Reliable transportation and ability to navigate downtown Chicago required
  • Familiarity with the Recorder of Deeds, Cook County Assessor, and City of Chicago Water Department is helpful and preferred

Pay: $58,076.14 - $69,941.16 per year
