This position serves as the first point of contact for clients and visitors, ensuring welcoming professional experience. The role also provides essential administrative and accounting support, including processing invoices, assisting with monthly close activities, and completing general office tasks such as data entry, word processing, and research. This is a dual-function role ideal for someone who is detail‑oriented, organized, and comfortable supporting both front‑office and accounting operations.
Key Responsibilities
Accounting & Finance Support

Process Accounts Payable invoices within the accounting system

Reconcile general ledger accounts, verify accounting data, and document transaction details

Assist with monthly and annual physical inventory counts as needed

Support month‑end and year‑end close by recording routine transactions

Serve as backup for accounting team members during absences

Perform billing functions for all customers

Complete additional accounting tasks as assigned by the Controller or Accounting Manager
Front Desk & Administrative Support

Answer, screen, and route incoming calls professionally

Greeting and welcome visitors; provide seating and direct them to appropriate meeting rooms or offices

Maintain office security by following established safety procedures and managing visitor access

Provide accurate information to clients and staff in person, by phone, and via email

Receive, sort, and distribute daily mail in accordance with office procedures

Assist administrative staff with overflow tasks, including word processing, data entry, and online research
Qualifications

Proficiency in Microsoft Office, especially Excel

Experience with large ERP systems such as NetSuite, SAP, or Microsoft Dynamics (preferred)

Strong attention to detail and analytical skills

Associate’s or Bachelor’s degree in Accounting (preferred)
