Hospital Receptionist – Roles and Responsibilities1. Front Desk Management
- Greet patients and visitors politely and provide assistance.
- Maintain a professional and welcoming front desk area.
- Ensure smooth flow of patients to OPD, diagnostic areas, and other departments.
- Handle patient check-ins, appointments, and registrations efficiently.
Patient Registration & Admission
- Record patient details accurately in hospital management software or manual registers.
- Collect and verify patient documents (ID proof, insurance card, referral slips, etc.).
- Generate and issue patient ID numbers and case sheets.
- Assist in admission and discharge formalities.
Appointment Scheduling
- Schedule and confirm appointments for doctors and specialists.
- Manage the daily OPD schedule and inform consultants about patient flow.
- Handle walk-in patients and coordinate rescheduling or cancellations.
- Maintain appointment logs and ensure no overlaps or delays.
Communication & Coordination
- Answer phone calls, emails, and patient inquiries courteously.
- Coordinate with doctors, nurses, lab, pharmacy, and billing departments.
- Inform patients about hospital services, consultation timings, and procedures.
- Relay messages or test reports to concerned staff/patients as per protocol.
Billing & Payments Support
- Collect consultation fees and issue receipts.
- Maintain records of cash and digital transactions.
- Coordinate with the accounts or cashier department for billing reconciliation.
- Guide patients about billing processes and insurance coverage (if applicable).
Record Keeping & Documentation
- Maintain daily OPD/visitor records.
- Ensure confidentiality of patient information.
- File and retrieve records as needed by management or medical staff.
- Update electronic medical records (EMR) systems regularly.
Customer Service
- Handle patient complaints and escalate unresolved issues to the admin.
- Maintain a friendly and empathetic attitude toward patients and families.
- Assist elderly, disabled, or critical patients with necessary support.
- Collect patient feedback for quality improvement.
Administrative Support
- Support hospital management with data entry and reports (daily census, patient inflow, etc.).
- Maintain inventory of front desk stationery and forms.
- Ensure compliance with hospital policies and infection control practices.
- Attend staff meetings and training sessions.
Emergency/Casualty Coordination
- Quickly register emergency patients and alert the duty doctor.
- Assist relatives in locating wards or emergency areas.
- Coordinate with nursing and casualty teams for urgent needs.
Professional Conduct
- Maintain punctuality, proper dress code, and hygiene.
- Uphold confidentiality and patient privacy standards.
- Exhibit calmness and professionalism during busy or stressful hours.
