We are seeking a reliable, professional, and compassionate Receptionist to join our team at our Substance Use Disorder Treatment Facility. This position serves as the first point of contact for clients, visitors, referral sources, and community partners. The ideal candidate will provide exceptional customer service, support daily office functions, and help maintain a calm, welcoming environment for individuals seeking care.
Because we serve clients on their recovery journey, applicants with lived experience or a background in behavioral health are encouraged to apply. Experience with front-desk operations, administrative support, or behavioral health office settings is highly valued. The Receptionist plays a vital role in supporting our clinical and administrative teams by ensuring smooth office operations, maintaining confidentiality, and upholding our facility’s standards of professionalism and compassion.
Key Duties
- Warmly greet all clients and visitors, fostering a supportive and respectful environment
- Maintain client confidentiality in accordance with HIPAA and Washington State WAC requirements, including SUD-specific privacy regulations
- Manage a multi-line phone system with professionalism; direct calls, take messages, and route inquiries appropriately
- Schedule assessments, group sessions, UA collections, and client appointments using Microsoft Office and ReliaTrax
- Assist clients with intake paperwork, ROI forms, portal completion, and general questions
- Perform accurate data entry, maintain organized filing systems, and update client records
- Process incoming and outgoing mail, emails, and internal correspondence
- Support office operations by monitoring supply levels, preparing documents, and maintaining a clean, organized front office
- Complete clerical tasks including typing, proofreading, scanning, and document preparation with strong attention to detail
- Assist the administrative team with various projects as needed to ensure smooth daily operations
Requirements
- Strong computer literacy and proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ReliaTrax EHR system (or willingness to learn)
- Experience with multi-line phone systems and professional phone etiquette
- Ability to manage scheduling, calendars, and time-sensitive tasks efficiently
- Excellent communication skills with a high level of professionalism and empathy
- Strong organizational skills with exceptional attention to accuracy and detail
- Ability to maintain strict confidentiality regarding client information
- Previous experience in an office, behavioral health, medical, or customer-service setting preferred
- Ability to multitask effectively in a busy, fast-paced environment while maintaining a calm, supportive demeanor
Pay: From $19.00 per hour
Expected hours: 20.0 per week
