Job description:

We are seeking a highly organized, professional, and proactive Receptionist to join our team. The Receptionist will serve as the first point of contact for clients, visitors, and business partners, and is responsible for ensuring a welcoming and professional environment. This role also involves managing front desk operations, handling communications, and providing administrative support to the sales and management team. The ideal candidate will help maintain smooth daily office operations while representing the company's brand image with excellence.

Key Responsibilities

  • Greet and welcome clients, visitors, and business partners in a courteous and professional manner.
  • Assist and escort guests and visitors to the appropriate meeting rooms.
  • Answer, screen, and forward incoming calls and emails.
  • Manage visitor logs and maintain appointment schedules.
  • Direct clients to relevant staff members, meeting rooms, or departments.
  • Ensure the reception area and waiting zones are always neat, organized, and presentable.
  • Maintain and update office files, records, and internal databases.
  • Schedule and confirm appointments, meetings, and property viewings for the sales team.
  • Provide general information about company services and available listings (non-sales role).
  • Handle walk-in and phone inquiries in a professional and timely manner.
  • Assist the sales and leasing team with coordination of property viewings.
  • Manage incoming and outgoing mail, deliveries, and courier services.
  • Coordinate with building management and external vendors as needed.
  • Support office events, open houses, and property-related activities.
  • Provide administrative support to the HR and management team.
  • Have knowledge in Social Media support.

Skills & Competencies

  • Excellent interpersonal and communication skills.
  • Professional appearance and business etiquette.
  • Strong organizational skills with the ability to multitask effectively.
  • Customer-focused with strong problem-solving abilities.
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint).
  • Experience with CRM systems is an advantage.

Qualifications & Experience

· Bachelor’s degree preferred.

· 3 years of experience in Reception and Administrative roles.

· Previous experience in real estate is highly desirable.

· Must be currently based in Dubai.

· Must be able to join immediately.

· Reliably commute or planning to relocate before starting work (Preferred)
