We are seeking a friendly, organized, and customer-oriented Veterinary Receptionist to join our team . As a Veterinary Receptionist, you will be the first point of contact for clients and visitors, providing exceptional customer service and administrative support in a fast-paced veterinary clinic or hospital environment. Your role will involve greeting clients, scheduling appointments, managing phone calls, handling financial transactions, and maintaining accurate records. The ideal candidate should possess excellent communication skills, strong organizational abilities, and a genuine passion for providing a positive experience for both clients and their pets.

Responsibilities:

Welcome and greet clients and visitors in a friendly and professional manner, ensuring a positive and welcoming atmosphere in the clinic or hospital.

Answer incoming phone calls promptly and efficiently, addressing client inquiries, scheduling appointments, and providing information about services and procedures.

Manage appointment scheduling, ensuring proper coordination of veterinarians' schedules and client preferences, optimizing the flow of appointments, and minimizing wait times.

Collect and record accurate client and patient information, including personal details, medical history, and insurance information, maintaining confidentiality and privacy at all times.

Assist with the check-in and check-out process for clients and their pets, ensuring accurate completion of necessary paperwork and updating records accordingly.

Process financial transactions, including fee collection, insurance claims, and billing, ensuring accuracy and adherence to clinic policies and procedures.

Maintain an organized and efficient front desk area, including managing patient files, medical records, and administrative documents.

Communicate effectively with veterinary staff, ensuring smooth coordination and flow of information between reception and clinical areas.

Provide general information and guidance to clients regarding clinic services, procedures, and requirements, demonstrating excellent knowledge and professionalism.

Handle client concerns and complaints in a calm and empathetic manner, seeking appropriate solutions and escalating issues as necessary.

Assist with inventory management, including ordering and stocking office and clinic supplies, ensuring availability of necessary resources.

Coordinate with external service providers, such as laboratories and suppliers, to facilitate smooth operations and timely delivery of services.

Maintain cleanliness and tidiness of the reception area, waiting room, and other public areas, ensuring a clean and comfortable environment for clients and their pets.

Stay updated on veterinary industry trends, services, and products, and actively participate in training and development opportunities to enhance knowledge and skills.

Qualifications:

High school diploma or equivalent qualification required; additional certifications or courses in office administration or customer service is advantageous.

Proven experience as a Receptionist or Customer Service Representative, preferably in a veterinary clinic, healthcare setting, or related field.

Excellent communication skills, both verbal and written, with the ability to interact professionally and compassionately with clients and colleagues.

Strong organizational abilities, including appointment scheduling, record-keeping, and multitasking in a fast-paced environment.

Proficient computer skills, including working knowledge of electronic medical record (EMR) systems, scheduling software, and MS Office applications.

Ability to handle financial transactions accurately, including fee collection, insurance claims, and billing procedures.

Empathy and patience in dealing with clients and their pets, particularly in sensitive or stressful situations.

Attention to detail and commitment to maintaining accurate and confidential client records and administrative documents.

Professional demeanor and appearance, with excellent customer service and interpersonal skills.

Ability to work effectively as part of a team, collaborating with veterinary staff and other receptionists.

Fluency in English is required; knowledge of Arabic is advantageous.

Must be eligible to work in the UAE.

Job Type: Full-time

Pay: AED2,000.00 - AED2,500.00 per month
