Responsibilities

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
  • Maintain a tidy and organized front desk area, including filing, data entry, and document proofreading
  • Handle appointment scheduling, calendar management, and coordinate meetings for staff or professionals such as dental or medical receptionists
  • Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for data entry, record keeping, and billing support
  • Support administrative tasks including filing, photocopying, proofreading documents, and managing correspondence
  • Assist with office supply inventory management and basic bookkeeping duties when needed

Skills

  • Proven experience in office management or administrative support roles with clerical experience preferred
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Exceptional customer service skills combined with professional phone etiquette and clear communication abilities
  • Bilingual capabilities are a plus to serve diverse client needs effectively
  • Familiarity with front desk procedures in medical or dental environments is advantageous
  • Ability to perform data entry accurately while maintaining attention to detail and proofreading skills
