The part-time receptionist is responsible for a variety of administrative support tasks, including answering phones, receiving visitors, preparing meeting rooms, monitoring the shared calendar, sorting, and distributing mail, and making travel arrangements.
ESSENTIAL FUNCTIONS

Responsible for greeting and assisting citizens, visitors, and guests with a positive demeanor; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location.
- Knowledgeable about each department, as to be able to answer simple questions of those who walk in the door.

Answers, screens, and directs phone calls to staff; takes messages and schedules appointments.
- Receives mail, documents, packages, and courier deliveries and delivers or distributes items.

Orders office supplies as needed and maintaining supply inventory.
- Perform routine clerical work, including, but not limited to, attending meetings, preparing reports and correspondence, copying and filing/retrieving documents, sending, and receiving faxes and e-mails, entering and retrieving computer data, answering the telephone, processing daily mail, etc.

Prepares meeting/conference rooms for meetings and special events; assists in making regular and special meeting arrangements as needed

Attend trainings, meetings, seminars, and/or workshops to enhance job knowledge and skills.
ADDITIONAL JOB FUNCTIONS

Uses a variety of computer software programs such as Microsoft Word, Excel, Outlook.
- Ability to navigate the City of Chamblee website to direct citizens to resources.
- Other duties as assigned.

QUALIFICATIONS

Bilingual in Spanish and English is strongly preferred.
- High school diploma or equivalent required; Associate degree in business studies or related field preferred
- Ability to keep material and information confidential.
