Job Summary
We are seeking an energetic and highly organized Receptionist to be the welcoming face of our office. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your proactive approach and excellent organizational skills will ensure smooth daily operations, support office management tasks, and create a positive first impression for everyone who walks through our doors. Duties

  • Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly.
  • Manage multi-line phone systems with professionalism, directing calls efficiently and courteously.
  • Handle front desk responsibilities including guest entry
  • Register parking permits and liaise with parking vendor and UTA.
  • Utilize computer skills across Microsoft Office Suite for various administrative tasks.
  • Sort and disperse mail and packages.
  • Assist with maintaining hospitality supplies.
  • Provide excellent customer support by addressing inquiries promptly and professionally via phone or email.
  • Maintain a clean and organized reception area to promote a professional environment.

Requirements

  • Proven experience in office management or as a receptionist with strong clerical skills.
  • Excellent computer literacy with proficiency in Microsoft Office.
  • Familiarity with multi-line phone systems and phone etiquette to handle high-volume calls effectively.
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
  • Exceptional customer service skills combined with professional communication.
  • Ability to manage time effectively while prioritizing tasks to ensure smooth daily operations.
