Responsibilities
- Greet visitors, clients, and vendors with a warm and professional demeanor, ensuring they feel welcomed and valued.
- Manage multi-line phone systems, screen calls, take messages, and direct inquiries to appropriate personnel promptly.
- Maintain a clean, organized front desk area and ensure all reception supplies are stocked and functional.
- Handle data entry, filing, and document proofreading to support administrative workflows efficiently.
- Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace or Microsoft Office.
- Assist with clerical duties including photocopying, faxing, mailing, and maintaining confidentiality of sensitive information.
- Provide excellent customer support by addressing inquiries professionally and offering assistance as needed.
- Support medical or dental reception duties if applicable, including patient check-in/out procedures and insurance documentation.
- Demonstrate strong phone etiquette and organizational skills to handle multiple priorities seamlessly.Experience
- Previous office or administrative experience is required; experience in medical or dental reception is a plus.
- Proven proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools.
- Familiarity with front desk operations, multi-line phone systems, filing systems, and clerical procedures is essential.
- Bilingual abilities are highly desirable to communicate effectively with diverse clients and staff.
- Experience in office management or personal assistant roles will be advantageous for supporting broader administrative functions.
- Strong organizational skills with the ability to prioritize tasks efficiently while managing time effectively.
