We are seeking an energetic and highly organized Receptionist to be the welcoming face of our organization. Duties

  • Greet visitors and clients warmly, ensuring a professional and friendly atmosphere at all times
  • Answer, screen, and direct incoming calls using multi-line phone systems with excellent phone etiquette
  • Manage front desk operations including scheduling appointments, maintaining visitor logs, and handling mail distribution
  • Perform data entry, filing, and document proofreading to support office administrative tasks
  • Utilize Microsoft Office Suite and Google Workspace to prepare reports, correspondence, and presentations
  • Assist with calendar management and coordinate meetings for staff and executives
  • Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and maintaining organized records
  • Provide customer support by addressing inquiries promptly and professionally
  • Maintain a clean, organized reception area that reflects the company’s professional standards

Experience

  • Previous office experience or clerical experience demonstrating strong organizational skills
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
  • Experience with multi-line phone systems and phone etiquette is essential
  • Bilingual abilities are a plus for serving diverse clients and visitors effectively
  • Familiarity with office management tasks such as filing, data entry, proofreading, and calendar management preferred
  • Knowledge of medical or dental receptionist duties is advantageous but not required
  • Personal assistant experience or medical receptionist background can be beneficial for supporting executive needs
