Position Summary

Civil Construction is seeking a reliable and organized Office Receptionist & Accounts Payable Coordinator to support our accounting, project administration, and office operations teams.

This position will serve as the first point of contact for visitors and callers while also providing administrative support for accounts payable, project compliance documentation, vendor records, and general office operations. The ideal candidate is detail-oriented, professional, and comfortable working in a fast-paced construction environment.

This is an excellent opportunity for an entry-level or early-career professional interested in accounting, administration, or the construction industry. Candidate must be able to speak Spanish.

Key Responsibilities

Receptionist

  • Answer and direct incoming phone calls.
  • Welcome visitors, vendors, and clients.
  • Manage incoming and outgoing mail and deliveries.
  • Maintain office filing systems and electronic records.
  • Provide general administrative support to management and project teams.

Accounts Payable Support

  • Collect, organize, and scan vendor invoices and delivery tickets.
  • Match invoices with supporting documentation.
  • Enter invoices into the accounting system.
  • Route invoices for approval and maintain payment records.
  • Respond to vendor inquiries and assist with invoice research.
  • Maintain vendor files and documentation.

Project & Compliance Administration

  • Assist with maintaining subcontractor records and Certificates of Insurance (COIs).

Qualifications

  • Bilingual English and Spanish is required.
  • High school diploma required; Associate's degree preferred.
  • Administrative, accounting, or office experience preferred.
  • Experience with Microsoft Office, particularly Excel and Outlook.
  • Strong organizational and communication skills.
  • Ability to manage multiple priorities and deadlines.
  • Construction industry experience is a plus but not required.

Schedule

Part-Time (approximately 25-30 hours per week), with the potential to transition to full-time based on business needs.

Compensation & Benefits

  • Competitive hourly rate based on experience
