We are seeking a friendly, dependable employee as our CMA/ OFFICE ASSISTANT with a CMA or ACMA certification for our Edmond location. We value employees with a strong work ethic, great customer service, and always attention to detail.

Summary/objective

Essential functions

Operations:

  • Screens and routes incoming telephone calls on multi-line phone system, including retrieving voice mails and distributing to intended person. Directing Participants and Caregivers with transportation changes to contact transportation.
  • Greeting Participants, Caregivers, and Guest.
  • Communicating any needs or concerns to Center Director and direct care staff.
  • Assist participants in and out of vehicles as needed.
  • Provide exceptional customer service.
  • Coordinate with Enrichment Coordinator and to ensure any craft projects, notices, soiled clothing and any other items that need to be sent home are sent with participant and or care giver.
  • Assist in vendor relationship management.
  • Coordinate with Center Director to schedule tours for new inquires.
  • Tour potential Participants and Caregivers when the Center Director not available.
  • Manage Cad Care entries for attendance, new inquiries, and documenting relevant information in note section.
  • Follow up with new inquiries within 24 hours to offer assistance with paperwork or answer any questions, ensuring follow-up is notated in the notes section of Cad Care.
  • Scanning participant information in Edmond- Cad Care folder.
  • Scanning attendance to Accounting Director each Monday.
  • Coordinating with Dietary Aide to ensure food count numbers are on attendance sheet before scanning to Accounting Director.
  • Send with the driver every Monday to Bethany office, DHS tapes, mail, receipts, and other items requested by Center Director.
  • Manage office equipment, ensure copiers are operational and fully stocked with toner, paper, etc.
  • Participant in Resident Council meetings, being scribe for Enrichment Coordinator.
  • Assisting with medication administration as needed.
  • Assisting with activities as needed.
  • Being available to assist Center Director with various tasks as needed throughout the day.

Required education and experience

CMA or ACMA

Intermediate knowledge of Microsoft Office Suite, with emphasis on Word and Excel;willingness to learn new programs that will enhance services provided.

Preferred education and experience

  • Previous working experience as an Office Assistant
  • One year of customer service experience

Additional eligibility requirements

  • Excellent organizational and time management skills
  • Multi-tasking aptitude
  • Lifts, carries, and pushes equipment, or supplies exceeding 25lbs.
  • Must be free of limitations with legible handwriting for record keeping.
