Receptionist, Company Headquarters

This role is a cornerstone of our operations, serving as a welcoming first point of contact for callers and visitors while providing critical support to staff throughout the organization. In addition to greeting guests and managing a busy phone system, the Headquarters Receptionist serves as a resource for locations across the company, providing backup phone support and administrative assistance when needed. Precision, attentiveness, professionalism, and a service-oriented approach are essential in every interaction.

Key Responsibilities

  • Serve as the primary point of contact for callers and visitors, representing the organization in a professional and courteous manner
  • Answer incoming calls promptly, route inquiries appropriately, and take detailed messages when necessary
  • Assist visitors, families, vendors, and staff by providing information, direction, and support
  • Maintain reception resources, workspaces, and common areas in a highly organized and functional manner, setting the standard for evening and weekend staff
  • Enter and track incoming cases across the organization, ensuring timely, accurate, and dependable communication between locations while serving as a resource for staff
  • Maintain complete, accurate, and well-documented records in company databases and spreadsheets, demonstrating strong attention to detail
  • Consistently follow established procedures and best practices while exercising sound judgment and seeking clarification when necessary to ensure accuracy and compliance
  • Provide administrative support to management and assist with special projects and organizational initiatives as assigned

Qualifications

  • Exceptional interpersonal and verbal communication skills, including a pleasant and professional phone voice and manner
  • Demonstrated proficiency with computers, databases, spreadsheets, and office software, with the ability to quickly learn new systems and accurately manage large volumes of information
  • Proven attention to detail and ability to efficiently multitask across multiple applications while maintaining a consistently high level of accuracy, organization, and data integrity
  • Strong organizational and administrative skills, including the ability to prioritize competing demands and manage multiple tasks simultaneously
  • Demonstrate empathy, sensitivity, discretion, and professionalism when interacting with families, visitors, and callers, both in person and by telephone
  • Reliability, punctuality, and the ability to work independently and with rotating staff while maintaining positive working relationships and demonstrating strong teamwork and professionalism
  • Commitment to confidentiality and respect for the privacy of the families we serve

Work Environment & Expectations
This position is based at our primary location at 2301 Dupont Ave S in Minneapolis (55405) and serves Monday–Friday, 7:30 am–4:00 pm (occasional OT up to 5 hours per pay period). As a highly visible representative of Washburn-McReavy, the Headquarters Receptionist role requires a gracious, welcoming presence that reflects our brand and the compassionate service we provide to client families.

Dress Code
Required attire is a business-professional, solid navy-blue suit paired with a white dress shirt or blouse, and polished dress shoes in navy or black. Staff may submit a receipt for a suit purchase allowance of up to $200 annually. A company-issued necktie is provided for those who wear one. Hosiery, socks, and accessories should be professional, coordinated, and appropriate.

Clothing, jewelry, facial hair, and hairstyles are expected to be neat, clean, and consistent with the professional image of the organization. As our brand is conservative in nature, visible hand, facial, or neck tattoos, stretched earlobes (gauges), and excessive facial piercings are generally not considered consistent with the appearance standards of the role. One small nose stud is acceptable.

Pay: $18.50 - $22.00 per hour
