Receptionist-cum-Billing Executive (with TPA Knowledge) – Job Description

Job Title: Receptionist-cum-Billing & TPA Executive
Qualification: Graduate / Diploma in Hospital Administration or relevant field
Experience: Trained / Experienced in Billing, Front Office, and TPA handling (as required)

Job Summary

The Receptionist-cum-Billing & TPA Executive is responsible for managing front desk operations, patient registration, billing activities, and coordination with Third Party Administrators (TPA). The role ensures smooth patient flow, accurate billing, and proper documentation for insurance and cashless services.

Key ResponsibilitiesFront Office / Reception Duties

  • Greet and assist patients, visitors, and relatives politely.
  • Manage patient registration, appointment scheduling, and token system.
  • Answer phone calls, provide information, and handle inquiries.
  • Guide patients to respective departments (OPD, IPD, Diagnostics, etc).
  • Maintain front desk cleanliness and professional environment.

Billing Responsibilities

  • Generate OPD, IPD, pharmacy, and diagnostic bills accurately.
  • Enter charges, procedures, and services into the billing software.
  • Collect payments (cash, card, UPI, online) and issue receipts.
  • Maintain daily cash reports and handover to accounts department.
  • Resolve billing queries and ensure transparency.

TPA / Insurance Coordination

  • Handle patient insurance verification and eligibility checks.
  • Collect, verify, and upload required documents for cashless approvals.
  • Coordinate with TPA officials for pre-authorization, extension, and final approval.
  • Prepare and submit claim documents as per TPA guidelines.
  • Follow up on pending approvals and maintain records of all TPA cases.
  • Assist discharged patients with settlement of TPA or insurance bills.

Skills & Competencies

  • Knowledge of hospital billing software (e.g., HIS, ERP).
  • Understanding of TPA / insurance processes and documentation.
  • Excellent communication and patient-handling skills.
  • Strong accuracy in billing, documentation, and data entry.
  • Ability to multitask in a fast-paced hospital environment.
  • Pleasant personality and customer-service orientation.

Additional Responsibilities (If required by employer)

  • Maintain confidentiality of patient records.
  • Support management in MIS reports and daily billing summaries.
  • Handle emergency admissions and coordinate with duty doctors.
  • Assist in discharge process for IPD patients.

Job Types: Full-time, Permanent

Pay: ₹15,000.00 - ₹25,000.00 per month
