Key Responsibilities
- Greet and welcome visitors in a friendly and professional manner.
- Answer, screen, and forward incoming phone calls.
- Maintain the reception area, ensuring it is clean, tidy, and presentable.
- Handle visitor sign-ins and direct guests to the appropriate person or department.
- Receive, sort, and distribute mail and deliveries.
- Schedule and confirm appointments and meetings.
- Assist with basic administrative tasks such as filing, photocopying, and data entry.
- Manage office supplies and place orders when necessary.
- Handle inquiries and resolve basic issues or direct them to the appropriate personnel.
- Maintain confidentiality of company information and customer data.
Qualifications & Skills
- High school diploma or equivalent (additional certifications are an advantage).
- Proven experience as a receptionist or in a customer-service role preferred.
- Strong verbal and written communication skills.
- Professional appearance and friendly demeanor.
- Proficiency with phone systems, office equipment, and basic computer applications (MS Office, email).
- Excellent organizational and multitasking abilities.
- Ability to remain calm and handle pressure during busy periods.
