Position Overview
This role is key to fostering community relationships, managing communications with clients and the public. Success in this position requires excellent communication skills to authentically represent the Hickman Lowder brand and mission. The ideal candidate is flexible, highly organized, detail-oriented, and comfortable working both independently and collaboratively. Compassion and understanding of the challenges faced by individuals with special needs, disabilities, or the elderly are essential.
Key Responsibilities
- Interact with firm clients and contacts, both in person and on the phone.
- Manage switchboard for a multi-line phone system.
- Perform general operational duties, including but not limited to maintaining the lobby area and opening/closing office.
- Accept, log, copy/scan, and distribute mail, faxes, and deliveries
- Sort, open, and save mail, per Firm procedure
- Administrative tasks, such as data entry, copying, and scanning
- Provide coverage for Legal Secretaries during absences or on a project basis
- Handles confidential matters in a professional manner
- Communicate and interact professionally with clients, attorneys, legal team members and staff to deliver a high level of customer service
- Perform various administrative tasks, including but not limited to data entry, correspondence, proofreading, scanning documents, and maintaining electronic files
- Participate in in-house training to continue development and expand legal knowledge
- Other duties as assigned
Personal Qualities
- Exceptional interpersonal skills, able to engage effectively with colleagues, clients, and community stakeholders. Compassionate, with experience or a genuine interest in working with special needs populations, disabilities, or elderly clients. Excellent writing, editing, and proofreading abilities.
