Receptionist (Emirati)

The Role
JOB PURPOSE: The Receptionist will act as the first point of contact for visitors and will be responsible for providing office and administrative duties for the Depot facility in an effective and efficient manner. The Receptionist will have to manage a number of requests and projects at one time, and may be interrupted frequently to meet the needs and requests of employees, visitors and customers within tight deadlines. The Receptionist may find the environment to be busy, noisy and will need excellent organisational and time and stress management skills to complete the required tasks. KEY RESPONSIBILITIES: Reception • Monitor and ensure that the reception area is kept tidy and projects a business-like image • Greet and welcome visitors and suppliers to the offices, ensuring they sign in and out of the visitor’s book and informing the relevant member of staff of their arrival • Be responsible for ensuring that the visitors book and staff movement sheets are removed from reception and taken to the outside meeting point in the event of an emergency • Check and sign for deliveries and informing the relevant member of staff of their arrival Telephone System • Receiving and transferring telephone calls, announcing callers, taking brief messages and passing these on via the email system or connecting callers to staff members direct line • Report telephone equipment and line faults to the IT Manager • Review and update on a regular basis the staff contact and telephone extension lists. Advice all staff accordingly Administration • Establish and maintain appropriate administrative systems to support the work of the office • Sorting and distributing of incoming mails and documents • Fax and photocopy documents in a timely and efficient manner • Ensure all filing systems are maintained accurately and kept up to date • Ordering of office supplies • Handle the booking and preparation of the boardroom and meeting room • Preparing LPOs (Local Purchase Order) and sorting invoices for paymentArrange hotel bookings for visitors and staff when required • Arrange flight bookings for staff and management when required • Responsible for understanding and practicing appropriate safety procedures as follows: • Act as safely at work as you would elsewhere, if not more so • Use the tools available to you to maintain a safe environment • Participate in the safety training programme to educate yourself on hazards, safety practices, and rules • Communicate about unsafe practices and conditions • Always follow safety rules and regulations

Requirements
The chosen candidate will meet ALL the essential criteria below: ESSENTIAL • Educated to High School standard • Strong English written and verbal language skills • At least 1 years’ experience of working within an office environment – ideally in a reception or front of house role • Previous experience of using a switchboard with experience of using of office equipment such as photocopiers • Proficient in Microsoft Word, Excel and e-mail systems • Excellent telephone manner • Efficient and organised approach to work with the ability to multi-task DESIRABLE • Experience of working in a multi-cultural environment PERSON SPECIFICATIONS: • Excellent written and verbal communication skills with a good telephone manner • Efficient and organised approach to work with the ability to multitask • Smart and professional appearance • Ability to work to a high standard whilst under pressure
