Receptionist/Accounting Intern/Customer Billing/Quickbooks

Overview: The receptionist / front office assistant is responsible for handling all incoming telephone calls and inquiries and routing them to the appropriate person. In addition, this person shall handle various tasks as assigned by the Accounting Manager and Controller.

Responsibilities:

 Greet and welcome visitors in a professional and friendly manner.

 Answer and direct phone calls to appropriate individuals.

 Provide administrative support to the team, including scheduling appointments,

managing calendars, and coordinating meetings.

 File and maintain documents, both physical and electronic.

 Assist with event planning and coordination.

 Perform general office duties such as ordering supplies, managing mail, and maintaining office equipment.

 Track and acknowledge incoming PO’s and reply appropriately.

 Enter the PO’s in QuickBooks. Inform shipping.

 Enter daily invoicing into QuickBooks.

 Send out new Customer Packets, enter the new customers in the database and

QuickBooks, and follow up on a timely basis.

 Organize and enter travel expenses for other employees, including booking travel.

Other miscellaneous task as needed.

Requirements:

 Required: High school diploma or equivalent trade related experience.

 Minimum 1-2 years’ experience in an office environment.

 Fluent with Microsoft products, especially Outlook, Word, Excel, etc.

 Previous experience as a receptionist or administrative assistant preferred.

 Knowledge of QuickBooks or other accounting software is a plus. Willing to train the right person with previous billing experience.

 Experience working in an office environment is highly desirable.

 Strong computer skills, including proficiency in Microsoft Office Suite.

 Excellent organizational and time management skills.

 Ability to multitask and prioritize tasks effectively.

 Strong attention to detail and accuracy in work.

 Excellent communication skills, both verbal and written.

 Ability to work independently as well as part of a team.

 Proven ability to handle confidential information with discretion.

Job Type: Full-time

Pay: $15.00 - $17.00 per hour
