Key Responsibilities:
- Handle day-to-day administrative tasks, including managing official correspondence, responding to emails, and addressing online inquiries.
- Coordinate with suppliers and clients to support smooth supply chain operations.
- Prepare and issue quotations, process purchase orders (POs) upon receiving client LPOs, and ensure timely preparation of delivery notes.
- Oversee daily office operations, monitor deliveries, and ensure timely execution of services.
- Maintain calendars for contract renewals and service agreements, ensuring timely follow-ups and reminders.
- Keep accurate service records and prepare detailed service reports.
- Manage petty cash, record expenses, and submit regular reconciliations.
- Coordinate import shipments, including preparing eDAS attestations.
- Manage and update online portals such as MOFA and other related platforms.
- Maintain organized hard and soft copies of purchase records, including tracking serial numbers for warranty documentation.
- Provide HR support by organizing employee records, maintaining personal folders (physical and digital), and managing leave applications.
- Ensure adequate stock of office supplies and replenish as required.
- Create and maintain a structured filing system to facilitate smooth documentation flow and easy retrieval.
