Overview
We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. In this vital role, you will be the welcoming face of our company, managing front desk operations and providing essential administrative support to ensure smooth daily functions. Your proactive approach will help foster a professional and organized environment, supporting our commitment to excellence in the building envelope industry.
Key Responsibilities and Duties
- Visitor Management: Greet clients, visitors, vendors and staff with a professional and courteous demeanor and managing check-ins with efficiency.
- Communication: Managing a multi-line phone system and redirect calls promptly while maintaining professionalism.
- Coordinating: Conference room bookings and ensuring meeting spaces are prepared and well-equipped for use.
- Administration: Perform clerical duties such as filing, data entry, scanning, photocopying, and preparing documents or reports for meetings.
- Office Security: Monitor visitor logbooks and follow safety procedures.
- Mail/Package Distribution: Receive, sort, and distribute daily mail and deliveries. Coordination of outbound FedEx shipments.
- Reception Maintenance: Keep the reception area, lobby, and sometimes shared areas tidy and fully stocked with supplies
- Ordering: Monitoring and ordering office supplies, coffee/teas, snacks.
- Supporting HR: Assistant to the HR/Accounting/Office Manager.
Required Skills and Qualifications
- Experience: Proven work experience as a receptionist, front office representative, or administrative assistant in a corporate environment.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with office equipment (e.g., printers, copiers).Familiarity with customer relationship management (CRM) software.
- Communication: Strong written and verbal communication skills.
- Professionalism: A professional attitude, appearance, and demeanor. Strong problem-solving skills and the ability to manage last-minute changes efficiently.
- Organization: Excellent time-management and multitasking skills with the ability to prioritize tasks.
- Education: High school diploma or equivalent; an associate degree or certificate is a plus.
Additional Information:
Compensation: Hourly compensation commensurate with experience/background;
Schedule: Monday – Friday in office 8 am – 5 pm (with a 1 hour lunch break)
