Receptionist/Administrative Assistant

Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming and professional environment. Must be bilingual in Spanish. You will manage front desk operations, handle multi-line phone systems, and provide essential administrative support to keep our office running smoothly. Duties

  • Greet visitors warmly and direct them appropriately, maintaining a professional front desk presence
  • Answer and route multi-line phone calls efficiently using advanced phone etiquette and systems
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Support customer service efforts by assisting clients with inquiries and providing support via phone
  • Handle incoming correspondence, manage office supplies inventory, and maintain organized filing system
  • Provide personal assistant support to executives or team members when required

Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and data entry software
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Demonstrated ability to handle confidential information discreetly and professionally
  • Strong typing skills with attention to detail for proofreading and document accuracy
  • Exceptional customer service skills with a friendly and professional demeanor
  • Ability to prioritize tasks efficiently using time management techniques
