Duties
- Greet visitors warmly, manage check-in procedures, and direct them appropriately
- Operate multi-line phone systems, answer inquiries, and route calls efficiently using professional phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages
- Maintain organized filing systems, perform data entry, and ensure accurate record keeping using Microsoft Office and Google Workspace tools
- Manage appointment scheduling, calendar coordination, and calendar management for staff members
- Assist with bookkeeping tasks using QuickBooks and support basic office management functions
- Provide exceptional customer service by supporting clients, vendors, and team members promptly and courteously
Requirements
- Proven office experience with strong clerical skills and familiarity with office management procedures
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems and phone etiquette standards
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment
- Excellent typing speed and proofreading skills to ensure accuracy in all communications
- Previous experience as a receptionist or administrative assistant in medical or dental settings is a plus
- Knowledge of bookkeeping software such as QuickBooks or similar is advantageous
- Demonstrated customer service skills with a friendly attitude and professional demeanor
- Ability to manage time effectively while handling multiple responsibilities simultaneously
