Receptionist/Administrative Assistant

Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Duties

  • Greet visitors, clients, and vendors warmly, creating a positive first impression for everyone who walks through our doors
  • Manage multi-line phone systems with professionalism, answering inquiries promptly and directing calls efficiently using proper phone etiquette
  • Handle incoming and outgoing correspondence, including emails, mail, and packages, ensuring timely distribution and filing
  • Maintain organized files and records through accurate data entry, proofreading documents, and meticulous filing systems
  • Support calendar management and appointment scheduling for team members using Google Workspace or Microsoft Office tools
  • Assist with basic bookkeeping tasks using QuickBooks or similar software to track expenses and invoices
  • Provide general office support such as ordering supplies, managing office equipment, and coordinating maintenance requests

Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Exceptional computer literacy with the ability to learn new software quickly
  • Bilingual abilities are highly desirable to serve diverse clients and staff effectively
  • Excellent customer service skills with a friendly demeanor and professional phone etiquette
  • Prior experience as a receptionist, medical receptionist, dental receptionist, or personal assistant is preferred
  • Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Familiarity with office management procedures such as filing systems, data entry, proofreading, and calendar management
  • Knowledge of multi-line phone systems and basic bookkeeping practices using QuickBooks or similar programs
