HR Assistant / Receptionist Position Summary

The HR Assistant / Receptionist serves as the first point of contact for employees, applicants, and visitors while providing administrative support to the Human Resources department. This position is responsible for front desk operations, employee onboarding support, recordkeeping, and general office administration in a fast-paced manufacturing environment.

Essential Duties and Responsibilities Reception and Administrative Support

  • Greet and assist employees, applicants, visitors in a professional manner.
  • Answer and direct incoming phone calls and emails.
  • Manage visitor sign-in procedures and issue visitor badges.
  • Maintain reception area.
  • Assist with general office filing, scanning, copying, and data entry.
  • Maintain a high level of confidentiality.

Human Resources Support

  • Assist with recruiting activities, including scheduling interviews, and communicating with candidates.
  • Helps prepare new hire paperwork and onboarding materials.
  • Assists with employee orientation and onboarding activities.
  • Maintain employee personnel files and HR records.
  • Enter and update employee information in HR systems.
  • Assist employees with benefits enrollment forms and general HR questions.
  • Support attendance tracking and other workforce reporting.
  • Help coordinate employee events and training sessions.

Manufacturing Facility Support

  • Assist with employee communications and bulletin board postings.
  • Support safety initiatives and distribute required documentation.
  • Coordinate visitor access and contractor sign-in procedures.
  • Maintain confidentiality of employee and company information.

Qualifications

  • High school diploma or GED required.
  • 1-3 years of administrative, receptionist, or HR experience preferred.
  • Strong customer service and communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Microsoft 365 cloud services (SharePoint, OneDrive).
  • Ability to maintain confidential information.
  • Excellent organizational skills and attention to detail.
  • Ability to multitask and prioritize in a manufacturing environment.

Preferred Experience

  • Experience with HRIS systems.
  • Experience in manufacturing, food production, or industrial environments.
  • Bilingual English/Spanish skills preferred.

Physical Requirements

  • Ability to sit, stand, and walk throughout the workday.
  • Ability to occasionally lift up to 25 pounds.
  • Ability to work in an office located within a manufacturing facility including tasks on the manufacturing floor.

Pay: $15.00 - $18.00 per hour
