Job Overview
We are seeking a highly organized and proactive receptionist/Administrative Assistant to provide essential support within our team. The ideal candidate will be responsible for a variety of administrative tasks that ensure the smooth operation of the department. This role requires excellent communication skills, attention to detail, and the ability to manage multiple priorities effectively.

Duties

  • Manage phone systems, including answering calls, directing inquiries, and taking messages as needed.
  • Oversee calendar management for client managers, shareholders, department meetings, appointments, and office related events.
  • Provide clerical support by preparing documents, reports, and presentations.
  • Support department managers and firm leadership by coordinating schedules, communications, and administrative priorities.
  • Proofread documents for accuracy and clarity before distribution.

Skills

  • Excellent written and verbal communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Proficiency in phone systems, Microsoft Office applications, and general office technology.

Qualifications

  • Proven clerical and administrative experience with strong organizational skills
  • Proficiency in computer software and office suites (Microsoft Office, Google Workspace); excellent typing and data entry abilities
  • Excellent customer service, phone etiquette, and front desk/multiline phone system familiarity
  • Detail-oriented with proofreading capability and accurate filing
  • Ability to multitask, manage calendars, and support office operations; prior dental receptionist or personal assistant experience is a plus
  • Strong communication, time management, and office coordination skills
  • Optional premium: QuickBooks experience and bilingual communication are a plus

Job Type: Full-time

Pay: $20.00 - $25.00 per hour
