Job Summary

The Admin Assistant will support the office and the President/Chief Engineer and will answer phones, take messages, convert handwritten, or otherwise unfinished information into readable, printed or digital copies, will conduct research, prepare statistical reports, handle information requests, and perform clerical functions that include preparing correspondence and other administrative tasks as assigned. The right candidate will be a self-starter willing to take on any activities required by a small growing company.

Expertise in Microsoft Word and exceptional writing skills are required. Remote work is not available for this position.

Responsibilities

You will play an essential role in the overall success of the team. You will:

  • Create or edit documents, including technical memos, shop drawing review comments, email correspondence, and other business material.
  • Edit engineering specifications with a focus on formatting, utilizing the various design, layout, and style tools in Microsoft Word.
  • Possibly work on cost proposals using Microsoft Excel.
  • Help prepare large proposals.
  • Prepare resumes (personnel & project) for RFPs.
  • Arrange conference calls and on-site meetings.
  • Coordinate travel and accommodation for executives (flight, hotel, and ground transportation).
  • Handle front office duties – phone and office reception, incoming deliveries, shipping.
  • Submit background checks.
  • Plan company events and lunch & learns
  • Assist with engineering submissions by printing, collating and binding.
  • Perform other related duties, if assigned.

This job requires:

  • Availability to work a minimum of 40 hours per week in office
  • Expertise in Microsoft Word.
  • Proficiency in Microsoft Excel, Power Point and Outlook.
  • Minimum of 1 years working in an administrative or support role.
  • Minimum High School Diploma
  • Exceptional command of the English language.
  • Superb business writing skills, including grammar, clarity, etc.
  • Experience in typing and editing engineering data is a plus
  • The ability to write, proofread, edit, and format business documents with minimal supervision and high level of accuracy.
  • Knowledge of Adobe Acrobat and graphic design are helpful.
  • The ability to consistently meet deadlines.
  • Reliability and professional demeanor.

Job Type: Full-time

Pay: $40,000.00 - $55,000.00 per year
