Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer literacy, excellent communication skills, and the ability to manage multiple tasks efficiently. This role involves providing administrative support across various departments, ensuring smooth daily operations, and delivering exceptional customer service. Previous office management, clerical experience, and familiarity with office software are highly valued. Bilingual abilities are a plus to assist diverse client and staff interactions.

Duties

  • Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and document proofreading to maintain accurate records
  • Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Handle customer support inquiries via phone, email, or in person, ensuring excellent phone etiquette and customer service standards
  • Assist with bookkeeping tasks using QuickBooks or similar software for basic financial recordkeeping
  • Support office management tasks such as organizing supplies, maintaining office equipment, and overseeing administrative workflows
  • Prepare correspondence, reports, and presentations with attention to detail and accuracy
  • Support personal assistant duties as needed, including calendar management and travel arrangements

Qualifications

  • Proven experience in an office environment with clerical or administrative responsibilities
  • Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools
  • Familiarity with QuickBooks or bookkeeping software is preferred
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong written and verbal communication skills; bilingual abilities are advantageous
  • Experience in customer service roles such as dental or medical receptionist is a plus
  • Demonstrated professionalism with good phone etiquette and time management skills
  • Ability to handle multiple tasks efficiently in a fast-paced environment
  • Prior experience in office management or personal assistant roles is desirable
