Responsibilities
- Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive first impression.
- Manage multi-line phone systems, screen calls, and direct inquiries to appropriate team members with excellent phone etiquette.
- Maintain front desk operations, including scheduling appointments, handling mail, and organizing visitor sign-in procedures.
- Perform data entry, filing, and document proofreading to support administrative tasks efficiently.
- Utilize Microsoft Office Suite, Google Workspace applications, and other computer skills to prepare reports, correspondence, and presentations.
- Assist with calendar management and scheduling for staff or executives as needed.
- Support office management duties such as supply inventory, basic bookkeeping using QuickBooks, and maintaining organized records.
Skills
- Proven experience in office administration or clerical roles with strong organizational skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and general computer literacy.
- Excellent customer service skills with the ability to handle inquiries professionally via phone or in person.
- Bilingual abilities are highly valued for effective communication across diverse audiences.
- Knowledge of front desk operations, data entry accuracy, and proofreading techniques.
- Familiarity with multi-line phone systems and phone etiquette standards.
- Experience with office management tasks such as filing systems, calendar coordination, and basic bookkeeping (QuickBooks preferred).
- Strong time management skills with the ability to prioritize tasks efficiently.
- Previous experience in medical or dental receptionist roles is a plus but not required; personal assistant experience is also beneficial.
