Duties
- Greet visitors warmly, direct them appropriately, and maintain a professional front desk presence
- Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette
- Handle incoming emails and correspondence, ensuring timely responses and accurate message delivery
- Maintain organized filing systems, perform data entry, and ensure all documents are proofread for accuracy
- Schedule appointments, coordinate calendar management, and assist with meeting preparations
- Support office management tasks such as ordering supplies, managing inventories, and overseeing general administrative functions
- Utilize software tools like Microsoft Office, Google Workspace, QuickBooks, and other computer applications to streamline daily operations
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Prior experience with multi-line phone systems and phone etiquette is essential
- Bilingual abilities are highly desirable to effectively communicate with diverse clients and staff
- Strong typing skills along with data entry accuracy and proofreading capabilities
- Previous experience in medical or dental receptionist roles is advantageous but not required
- Exceptional customer service skills with a friendly attitude and professional demeanor
